Copy and paste roster from Excel

I'm trying to upload our 2008 roster from Excel by copy and paste.  The roster shows up fine in the block when I paste, but after I process it only two names show up. 

any ideas?

Hi Ken,

That's odd; as long as the roster is in the correct format, it should work.  Can you paste some of your roster here?  You can also email it to us through the feedback form if you don't want to post it here. 

 Also, which browser & version are you using?

 Hi Dave,  I see today that the new names show up on the "All Athletes" list.  Don't know if I just missed that yesterday, or if you did something to get them in.

Looks like the new names are not there afterall.  Only a couple got in, and that made me think that they all were there.  I tried it in Internet Explorer also, but still worked the same - all the names are in the window where I paste them, but only two names show up down below, and those seemed to be addes OK.  This was the same in Firefox and Explorer.

Ken, looking at the file that you sent us, I saw two items that would prevent "some" of the athletes from uploading.

  • Required fields: Name, Grade, Gender  (Some were missing the grade)
  • Two part first name, as in David M.  With how the import looks for names, it will not now how to correctly import those names.

Those two points would account for some of the missing upload, but probably not all.  I assume what you sent in the email was not the complete upload?

Dave,  I removed the “grid” from the spreadsheet and eliminated the few two-part first names and it looks like it worked.  I think the grid was the problem because one of those two-part first names had gone through before.  You’re right, what I “pasted” on the email was just a few of the names.

If I upload a roster via this format, does the system automatically merge returning athletes with their existing account? Or will I end up with duplicate athletes?

When you click on Process, it will show the list of athletes it found, and will say whether or not they were matched to any existing athletes.  Then, when you add them to your roster, they will be merged if appropriate. 

Also note the drop down menu with options to replace the current roster with the imported list, or add imported list to the current roster.

If you do end up with duplicate athletes, edit the names so they match, and every evening they will automatically be merged together.
